Web Content Policy

Content Updates

  • Simple requests (text, link, or photo updates) are typically completed within 1-3 business days.
  • Complex requests (layout changes, menu changes, accessibility checks) may take longer.

Please Note: During peak seasons (beginning of the semester, capstone, etc.) please allow additional time for all requests to be completed.

Accessibility

IU's ADA Policy UA-02 requires developing all IU web pages to meet the Level A and Level AA Success Criteria of the Web Content and Accessibility Guidelines (WCAG) 2.0.

We require that all content posted to the Luddy website be done so in ways that meet these requirements.

Documents

Before submitting an attachment to be added to your site, first ask yourself if it is necessary to have this information as an attachment or if it could be integrated into the site as a webpage.

Attachments must be saved as accessible PDFs. All documents will be checked with Adobe Acrobat's Accessibility Checker and must pass without any errors. Maximum file size accepted is 5MB.

Document owners are responsible for keeping their documents up-to-date, including making sure links work and there are no accessibility issues. In the event a document has broken links or accessibility errors, the owner will be contacted and given 14 days to supply an updated document, otherwise the document will be removed from the website.

Date-specific Content

Date-specific information should not be posted as static content within websites. Instead, clients can promote events by submitting them to the Events Calendar. The events can then be pulled into the website and will drop off automatically after the event(s) have passed. For this reason, faculty/staff should not request a static page to highlight their events. An exception may be made for events that are recurring (e.g., an annual event) and must meet the following criteria:

  • Only non-date-specific info will be allowed on the static page, such as a brief description of the event
  • Date-specific information will need to go into the master calendar of events and then get pulled into the static page
  • Registration/RSVP links must be placed within the calendar events entry because they are date-specific

Deadlines

Please be mindful of deadlines posted on the website. If there is a recurring deadline, please use that instead of a specific date, as that may get outdated (e.g., First Friday of March, versus March 1, 2023).

Duplicate Content

We cannot duplicate content on multiple pages of your website. If you need to refer back to something on another page, we can link back to the first instance. Likewise, we cannot copy content from another website and place it on yours. Please link to the other site's page if you need to reference that content.

Flyers, posters, brochures

We no longer post flyers, posters, and brochures anywhere on the website. Information should be integrated within the website.

URLs

Marketing and Communications reserves the right to determine the URL for pages within the site. URLs are subject to change, so do not share or advertise a URL until the site/page has launched.

Page Design

In order to comply with university policies and industry best practices, the marketing and communications team reserves the right to determine the components used on the page. We do not use carousels on the website due to accessibility concerns.

CMS Access

Only members of the marketing and communications team may have access to the WCMS. Full-time staff members may have access to Live Whale to manage school events they are responsible for.

Events Calendar

Live Whale is the only supported events calendar for the Luddy Indianapolis website.
